Challenge
Our Online Services Department and Sales Department faced difficulties in managing numerous programs, each at different stages of growth. With so many moving parts, we struggled to effectively keep track of each program's progress and allocate appropriate attention to the ones that needed it most, and appropriate resources to the ones that had the greatest potential for growth. Departments were often disconnected from one another in their experiences and feedback related to different clients.
Additionally, the manual process of gathering program insights was either too time-consuming or ineffective, resulting in delayed or fragmented communication between departments. The challenge was to find a solution that allowed the company to monitor all programs regularly without overwhelming departments with additional meetings or cumbersome reporting processes.

Program Health Analysis gave direction and scalability to the levels of support and resources provided to each program.

I partnered with the program’s sales team using the results to create a Program Success Plan and strategize next steps, including scheduling client business reviews to address any concerns and align on goals for the coming year.

I developed and implemented a streamlined approach for gathering and analyzing program performance data from each department. This involved creating brief, individual-specific multiple-choice forms. Each form was tailored to the responder, ensuring the questions were relevant to their specific role and involvement with the program.
Once the responses were gathered, the information was processed through a weighted matrix tool I developed specific to the agency’s goals, values, and client needs. The tool assigned scores based on key performance indicators, providing an overall weighted "health score" for each program, highlighting areas of strength and weaknesses.

By centralizing and streamlining the process, we were able to effectively monitor program growth, identify critical issues quickly, and ensure all departments remained informed and connected without overwhelming them with administrative burdens.
